Field Service Software Pricing: How to Read a Quote Without Getting Burned

Field service software pricing is deliberately hard to compare. Some vendors publish tiers, some quote after a demo, and almost all of them put the expensive parts somewhere other than the headline number.

Here is how to line up two quotes so you are comparing the same thing.

The five lines that move the bill

Get all five in writing before you sign anything.

  • ·Per seat rate, and the definition of a seat. Office staff usually count.
  • ·One time onboarding or implementation, and whether it is refundable.
  • ·Contract term and the auto renewal window.
  • ·Which modules are included versus add ons. Reporting and marketing are the usual add ons.
  • ·Payment processing rate, and whether you may keep your own processor.

Normalize to cost per tech per month

Take the annual all in cost including onboarding spread over twelve months, divide by the number of techs actually using it, and you finally have a number you can compare across vendors. Do it for every quote on your desk. The ranking usually changes.

Then price the part nobody quotes

The ramp. Eight to twelve weeks of techs learning screens and an office rebuilding a price book is a cost, even when no one invoices you for it. A three truck shop absorbs that out of the owner's evenings.

Ask any vendor how long until your first priced proposal goes out of a driveway. If the answer is a quarter, add a quarter of lost momentum to the price.
